CorporateGift for HubSpot - User Guide

Send e-gifts and physical gifts to your HubSpot contacts, and see every gift's status - without leaving HubSpot.

What you get
  • Gift History card on every contact record: each gift you've sent to that contact with its live status, price, shipping status, tracking numbers, the product the recipient chose, and their thank-you note.
  • Send a Gift right from the card - e-gifts (delivered by email, the recipient picks their gift) or physical gifts (shipped directly to an address).
  • Workflow actions for automation: send a gift automatically when a deal closes, a ticket resolves, or any other workflow trigger.


Requirements
  1. A CorporateGift account, connected to your HubSpot portal (one-time admin setup, below).
  2. Each HubSpot user who wants to use the card must be a registered user on the CorporateGift account - either the account's own login email or a user added to the account, matching their HubSpot login email.This is how the card knows which budgets and gift catalogs belong to you: you only see and spend what's assigned to your CorporateGift user. If your email isn't registered, the card shows a message asking you to contact your CorporateGift account admin.

One-time setup (Corporategift.com super admins)

1. Connect your HubSpot portal

  1. Log in to your CorporateGift account and go to My Integrations.
  2. On the CRM tab, click Add on the HubSpot card.

       3. On the HubSpot panel, click Connect to HubSpot.

       4. Pick the HubSpot portal to connect and approve the requested access.

       5. You'll return to the My Integrations page with HubSpot marked in a green label as installed.

2. Add the Gift History card to contact records

  1. In HubSpot: Settings → Data Management → Objects → Contacts → Record customization, and edit the view you are using. 
  2. In the right sidebar click Add cards → Card library, search for Gift History, and add it.
  3. Save. The card now appears on every contact record for everyone in the portal.

3. Register your team

Add each teammate who should send gifts as a user on your CorporateGift account, using the same email they log in to HubSpot with, and assign them the budgets and gift catalogs they may use.


The Gift History card

Open any contact. The card lists every gift you have sent to this contact, newest first:

  • Status — updates in near real-time: Not sent yet → Sent → Opened → Redeemed (or Bounced / Declined / Expired / Canceled).
  • Price and send date.
  • Redeemed gift — the product the recipient chose.
  • Shipping — the delivery status once a physical item ships, with clickable tracking numbers.
  • Thank you note — if the recipient wrote one when redeeming.

If nothing has been sent yet you'll see an empty state with a Send a Gift button.


Sending a gift

Click Send a Gift on the card and pick a gift type:

E-Gift (email)

The recipient gets an email and chooses their own gift.

  1. Gift — pick a campaign or product; you'll see its image and price after selecting, and prices in the list.
  2. Budget — your available budgets, with balances.
  3. Recipient first/last name — prefilled from the contact; edit if missing.
  4. Email subject and greeting message.
  5. Send. You'll get a confirmation with the order number, and the gift appears in the history immediately with status Sent.

Physical gift (shipped)

Ships a specific item directly — no redemption step, so only gifts that resolve to a single shippable product are offered: single-product campaigns, your assigned shippable products, and your inventory items.

  1. Gift and budget — as above.
  2. Recipient details — name, phone, and the full shipping address, prefilled from the contact record where available.
  3. Optional gift message.
  4. Send.

Good to know

  • Failures show the exact reason inline (e.g. insufficient budget) — fix and resend.
  • If a send times out, clicking Send again is safe: duplicate orders are automatically prevented.


Automating gifts with workflows (admins)


In any workflow, add the Create E-Gift or Create Physical Gift action:

  • Map the recipient fields to contact properties (first name, last name, email — plus phone and address for physical gifts).
  • Pick the campaign/product and budget from the dropdowns.
  • All fields marked required must be filled or the gift is not sent.

Note: workflow sends run under the CorporateGift account that connected the portal (automation has no acting user), so they draw on that account's catalog and budgets.


Troubleshooting
You see It means Fix
"Your HubSpot user (…) is not a registered user of the connected CorporateGift account" Your HubSpot login email isn't a user on the CG account Ask your CG account admin to add you with that email
"This contact has no email address on record" The card needs the contact's email Add an email to the contact
"No gifts available" (physical) Nothing you have access to resolves to a single shippable product Check your assigned products/inventory, or use an e-gift
Budget missing from the list Budgets are per-user Ask your admin to assign you the budget
"This gift is still being processed…" Your previous send is still completing Refresh the gift history; don't worry — no duplicate was created
